Hyland Perceptive Content Fundamentals - Searching in Perceptive Content

Searching in Perceptive Content

In Perceptive Content Explorer, you can perform searches for documents, projects, tasks, and workflow items using a simple search interface or a complex, multiple-condition interface called Views. In Perceptive Content, a view contains just the documents and projects you need to work with. Because a view is a subset of all Perceptive Content items that is tailored for you, the view can hide dozens, hundreds, or even thousands of documents that might otherwise clutter your Perceptive Content Explorer window. Views display only the columns you need to see or work with, including custom property columns. In addition, your View is customized so that the appearance, name, and width of columns in Perceptive Content Explorer fit your needs

Quick Search

A quick search applies a single condition to the documents, projects, forms, tasks, or workflow items in the current view and returns the results that satisfy that condition. You define the condition on the Quick Search tab of Perceptive Content Explorer, which includes the property list, operator list, and value box, and the Go button, shown below.

The options in the property list vary depending on the view selected in the Views pane of Perceptive Content Explorer, and the set of operators and the method for selecting the value vary with the selection you make in the property list. For example, when you search on a document key, such as Drawer or Folder, only documents and forms are returned. If you search on a project property, such as Project name or Project status, then projects and forms are returned. A limited subset of the search operator is available in the quick search. You can save searches performed, using the Quick Search as a filter.

An advanced search which allows you to define multiple conditions to the documents, projects, forms, tasks, or workflow items in the current view and returns the results that satisfy any or all of the defined conditions. You define the conditions on the Search tab of Perceptive Content Explorer, in the Add Condition dialog box, which allows you to build conditions using the following elements:

  • A search constraint, such as date, a document key, or a custom property.

  • A search type, which allows you create a prompted or variable search.

  • A search field specific to the constraint and current view selected

  • An extensive list of operators that evaluates the field against the value.

  • A value for the search condition.

After you define the search conditions you want to apply, you can group the conditions, reorder the conditions, and save searches performed with the search as a filter. The search evaluates the conditions in the order in which you define them. You can save a multiple condition search as a filter.

Advanced searching

Advanced searching in Perceptive Content allows you to search for documents based on a dictionary element in an application plan. Unlike application plan views in the Views pane of Content Explorer that return all documents associated with the application plan, LearnMode type searching allows you to limit the results of your search to specific document keys or other dictionary field defined in the associated application plan. To utilize LearnMode searching, you must access your business application.
