Advanced Search for Re-Enrollment

These instructions can be used in an advanced search or in the select recipients step of a campaign to find student enrolled in the current term but not enrolled in the upcoming term.

What you see in Navigate is based on your permissions.

Filter by Classification for Only Undergraduate Students:

When creating an advanced search or a campaign be careful you are reaching out to the correct desired student population.  This can be accomplished by using the Classification filter under the Term Data section. 

  1. To follow these instructions you will either need to be in the new search window by using Advanced Search or in the select recipients step through a Campaign.

  2. Once you have either selected Advanced Search or Campaign (you must proceed to the second step - Select Recipients) you will see the new search window and will be provided with filter options.  The filter options are broken into sections with headings (i.e. Student Information, Enrollment History, Area of Study, Term Data, etc.)

  3. Click on Term Data to expand/see the filter options inside that section.

  4. Click in the box under Classification (in Any of these)?

  5. Select your desired student classifications based on the population(s) you desire (i.e. for undergraduate select: Freshman, Sophomore, Junior, Senior).

Filter by Credits

  1. Click in the box under Min. Credit Hours?.

  2. Type in "1" (this will make sure to include students with at least 1 credit).

Filter by Enrollment

If you want to pull the students who are enrolled in the current term but not enrolled in the upcoming term you can do this by using the filters under the Enrollment History section.

  1. Click on Enrollment History to expand/see the filter options inside that section.

  2. Click on the plus sign next to Enrollment Terms (In Any of these)?.

  3. That will give you an additional field of Enrollment Terms (In None of these)?.

  4. Click in the box under Enrollment Terms (In Any of these)? and select the current term.

  5. Click in the box under Enrollment Terms (In None of these)? and select the upcoming term.

Filter by Applied for Graduation

For this re-enrollment example you will want to exclude students that have applied for graduation.

  1. Click on Student Information to expand/see the filter options inside that section.

  2. Click on the plus sign next to Category (In Any of these)?.

  3. That will give you an additional field of Category (In None of these)?.

  4. Click in the box under Category (In None of these)?.

  5. Start typing "Applied for Graduation".

    • Choose the appropriate graduation terms (this would be the current term and possibly the upcoming term depending on the timing that you are running this).

      • i.e. If running this during Spring 2023 select Applied for Graduation: Spring 2023 and Applied for Graduation: Summer 2023.

  6. Add any additional filter(s) based on your specific needs.

  7. Click on the Search button when you are ready to run your search.
